Small Vacation Rental Managers Lead AI Adoption, and More Plan to Lean on OTAs in 2027
Sarah
Small vacation rental managers are using AI more than the big ones. That is one finding from KeyData's 2027 Vacation Rental Industry Outlook, based on 392 responses from US property managers and reported by PhocusWire.
AI use
89% of managers use AI for at least one task. The most common uses are guest messaging automation (50%), social media content (42%), portfolio performance insights (40%), knowledge base chatbots (32%), and review management and sentiment analysis (32%).
Extra small managers, with up to 29 units, show the broadest use. 53% apply AI to guest messaging and 50% to social media content. They also lead on owner reporting (31%) and personalised sales emails (25%). The report suggests AI helps small teams cover work that would otherwise need extra staff.
Extra large operators, with 500 or more units, have the lowest adoption overall but use analytical tools heavily. Portfolio performance insights lead at 53%, and 40% use AI for both knowledge base chatbots and review sentiment analysis. The report notes that lower adoption "does not necessarily mean less sophisticated usage."
OTA reliance is turning
For 2026, more managers expected to reduce their OTA reliance than raise it (19% against 11%). For 2027 that has flipped. About 18% plan to pull back and 25% plan to rely more on OTAs. Extra small managers are the most likely to increase reliance, at 28%, while medium managers (100 to 249 units) are the least likely, at 22.5%.
The report says this does not mean direct booking matters less. Managers are weighing reach, acquisition costs, direct demand, conversion and occupancy needs.
Revenue outlook
About 77% of US property managers expect revenue growth in 2027, up from 69% in last year's report.
What it means
If you run a small portfolio, you are in the group most likely to be using AI and also most likely to lean harder on OTAs. Both choices are worth checking against cost: compare what each channel actually nets you after commission with what your messaging and content tools save.
